Run year-end tax planning check-ins with business clients
The problem
November and December are the last chance for small business clients to act on equipment purchases, retirement contributions, owner pay and estimated taxes, but firms run out of time to reach every client, so the planning conversations (and the advisory fees) happen for only a few.
How AI solves it
Export a client list with entity type, year-to-date profit and last year's tax, and ask an AI assistant to sort clients into who needs a full planning meeting, a short email or nothing this year. Have it draft a segmented outreach email with a booking link, a one-page pre-meeting questionnaire (expected income, big purchases, hiring, retirement plans) and a meeting agenda. Record the meeting with an AI note taker, then turn the notes into a plain-English follow-up listing each agreed action, the deadline (for example December 31 or the January estimated payment date) and who owns it. AI drafts and organizes; the tax advice and numbers stay with the professional.

Chase missing tax documents from clients
In tax season, staff spend hours emailing clients about the same missing W-2s, 1099s and receipts, and returns stall while everyone waits.
Turn monthly financials into plain-English client summaries
Clients get a P&L and balance sheet every month but don't read them, then call with questions the reports already answer, or miss problems until tax time.
Send engagement letters and onboard new clients
Every new client means rewriting a proposal, chasing a signed engagement letter, and emailing the same welcome checklist, so onboarding drags on for weeks and scope creep starts on day one.
Explain IRS and state tax notices to clients in plain English
Clients panic when an IRS or state notice (CP2000, CP14, balance-due or missing-return letters) arrives, then call or email the firm with photos of the letter, and each one takes time to read, explain and turn into a clear next step.
