Send tax deadline reminders and extension notices clients understand

The problem

Every spring the same clients miss the firm's internal cutoff, then call in a panic about whether they'll owe penalties. Staff retype deadline emails and extension explanations one client at a time, and many clients still believe an extension means more time to pay.

How AI solves it

Paste the filing and payment dates you've verified from IRS and state sources and your firm's internal cutoffs into an AI assistant and have it draft one deadline calendar email per client type (individuals, S corps and partnerships, clients who pay estimates). Then have it write three reusable notices: 'we're filing an extension for you' (more time to file, not to pay, with the estimated payment and date), 'your extension was filed' confirmation, and a final cutoff notice. Load them into your client portal or email tool as scheduled templates with merge fields, and have a preparer approve any message that includes an amount.

Chase missing tax documents from clients

In tax season, staff spend hours emailing clients about the same missing W-2s, 1099s and receipts, and returns stall while everyone waits.

Explain IRS and state tax notices to clients in plain English

Clients panic when an IRS or state notice (CP2000, CP14, balance-due or missing-return letters) arrives, then call or email the firm with photos of the letter, and each one takes time to read, explain and turn into a clear next step.

Run year-end tax planning check-ins with business clients

November and December are the last chance for small business clients to act on equipment purchases, retirement contributions, owner pay and estimated taxes, but firms run out of time to reach every client, so the planning conversations (and the advisory fees) happen for only a few.

Send engagement letters and onboard new clients

Every new client means rewriting a proposal, chasing a signed engagement letter, and emailing the same welcome checklist, so onboarding drags on for weeks and scope creep starts on day one.
